A spreadsheet can be a useful starting point for customer records. The question is whether your team can reliably find the information, assign the next action and understand what happened. These five signs can help you decide whether to improve the current process, configure an existing CRM or consider custom software.
1. Customer Information Is Split Across Tools
A contact record might live in a sheet while quotes, invoices and conversations sit elsewhere. If staff repeatedly search several tools to understand a customer, map the information they need together. An existing CRM with suitable integrations may solve the problem; a custom portal can be considered where the workflow requires more.
2. Follow-Ups Have No Clear Owner
Forgotten follow-ups often reveal a missing process rather than a missing feature. Each lead needs an owner, a next action and a due date. A CRM can make those fields visible and trigger reminders, but the team still needs rules for reassignments, completed work and leads that should no longer be contacted.
3. Your Team Cannot See Who Changed a Record
Shared customer work needs clear ownership and a record of important changes. Check whether the current tool supports the roles and history you need. Define who can view, edit, export or delete records before choosing a replacement. More software will not resolve unclear responsibilities on its own.
4. Reporting Requires Rebuilding the Same Sheet
If the team manually combines data for the same weekly report, identify the underlying fields and their sources. Agree on what a qualified lead, completed job or closed deal means. A report is useful when its numbers can be traced to records and actions, regardless of whether it comes from a spreadsheet, an existing CRM or a custom application.
5. The Workflow Does Not Fit Available Products
Custom development becomes worth evaluating when the important process cannot be supported adequately through configuration or integrations. Examples might include a linked quoting and work-order workflow, customer-specific permissions or a portal connected to an existing application. Test the requirement against available products before deciding to build.
Compare the Full Scope Before Choosing
- Existing CRM: check configuration, integration access, licence costs, exports and support.
- Custom system: scope development, hosting, maintenance, access controls and a handover plan.
- Current process: identify whether clearer ownership, better templates or a small integration is sufficient.
Plan the Migration and First Release
List the records to move, remove duplicates and preserve the identifiers needed to connect related data. Agree on a backup, a sample import and a way to reconcile the result before the team changes tools. Start with one important customer workflow and test it with the people who will use it. Add further features after that workflow works reliably.
